Notion Review: Is This Project Manager Right For You?

While a relatively new entry into the project management space, Notion has evolved quite quickly to meet the needs of its users. It’s a platform that is notable for its versatility, and it is a well-known option for individuals and teams who want a reliable tool to organize and manage tasks–from note-taking to in-depth project management.

But does it incorporate the best project management techniques to help you or your team get organized?

Let’s find out.

What is Notion?

Notion is a cloud-based workspace where individuals and small teams can take notes, create documents, track projects and organize and manage tasks all in one place. It’s often referred to as an “all-in-one” workspace because users can collate all of their projects onto a single platform.

Notion’s popularity among professionals and students is credited to its personalization that caters to any workflow. As a user, you’ll have the freedom to customize the layout of your workspace, while still getting helpful guidance and templates to help you get started.

Background on Notion

Founded in 2016, Notion started as a note-taking app but has evolved into a comprehensive project management tool for solopreneurs and small teams. The platform’s mission is to make it possible for people to shape the productivity tool they use every day to match their needs.

Notion Homepage

Getting Started with Notion

Every feature on Notion is designed to help users be as organized as possible.

The platform is segmented into pages that can be nested or interlinked at your convenience. As soon as you sign up, you’ll be redirected to your Welcome screen containing some tips to get started. This includes linked videos that guide you in creating your first page and setting up your to-do lists and projects.

Notion Dashboard

On the left side, you’ll find a list of default pages, such as ‘Quick Note’, ‘Personal Home’, and ‘Task List’ which you can customize and add. Whenever you create a new page it will show up on the left panel. You can add personalized header images, descriptive comments, and add associated icons to your pages.

Simply click anywhere on a page to add blocks for individual pieces of content such as text, lists, media, links, and sub-pages. You can also just type “/” to bring up a menu of blocks you can add to your new page. Notion Customized page Notion Customized page

How Notion Works: Key Features

Although Notion started as a note-taking app, it has become far more than that. The tool has promising features that go beyond creating to-do lists and make it a competent productivity and project management app.

Integrated User Guides

A commendable feature of Notion is that user guides are already embedded in the platform. For example, if you want to create a new document, you’ll find guides on how to get the most out of the preinstalled page.

Of course, this can be a hit or miss. Some users may be grateful for the step-by-step guides, while others may be frustrated with manually deleting pre-installed guide pages to clean up their workspace.

Notion User Guides

Customizable Pages & Templates

Notion makes it easy for you to create pages and documents in whatever style you want. Pages are like folders where you can store all information related to a particular topic. You can include a range of blocks or items on your pages such as text, toggle lists, to-do lists, images, video links, tables, boards, and maps.

Every change you make to a page or block is automatically saved in Notion. So you can always go back and view the history of a page if there’s something that you want to restore. This is pretty useful for when you make a mistake or just want to experiment with different versions of a page.

Notion Pages

Notion is also very generous when it comes to templates. It provides users with a ton of options, whether they’re creating blog posts, articles, event schedules, or product launch plans. Fortunately, all templates are fully customizable so you can modify them to your taste without having to build from scratch. The platform also encourages users to submit their own templates so the library grows to fit a wider range of needs.

Notion Templates

Collaborative Workspaces

Users can create different workspaces for different projects, which is useful if you need to manage multiple projects at once. Every workspace will have its own pages so all your information will remain separate and organized.

Notion allows you to invite other people to your workspace so you can collaborate in real time. The limit of guests you can have at a time depends on the plan you choose.

Integrations

As a good workspace should, Notion integrates with a wide range of popular productivity tools so you can easily share information across the platforms you use. These tools include Slack, GitHub, Zoom, Trello, Google Drive, and more.

For instance, you can make use of the Google Drive integration to quickly add and share files from your Google Drive directly to your Notion workspace.

Notion Integrations

Notion AI

Notion AI is a relatively new feature for workspaces. It’s a connected assistant powered by GPT-3 that’s developed to help boost your creativity and write content faster. Essentially, it eliminates the need to jump between your work and a separate AI-powered tool.

The feature can help you generate ideas for blog posts, social media posts, press releases, job descriptions, meeting agendas, and more. You’ll also be able to summarize pieces of content, correct spelling, and grammar, and translate text (English, Spanish, Chinese, and French).

Notion Use Cases

Solopreneurs

Individuals who are working freelance will benefit from an organizational tool like Notion. It can help with a variety of processes such as:

  • Documenting and managing career goals
  • Organizing projects for different clients
  • Managing content creation schedules

Professional teams

Small professional teams can benefit from Notion’s features because it ensures that all team members can collaborate on the same tool for multiple purposes. These purposes include:

  • Planning meetings and recording meeting notes
  • Setting task lists based on priority
  • Drawing up onboarding documentation for recruits
  • Brainstorming internal team goals (digital suggestion box)
  • Organizing a company roster
Notion Meetings Pages

Students

Students also make great use of Notion because of its impressive note-taking and organizational capabilities. Students can easily organize their notes by class and keep track of all reading and assignments (by the due date) for each class. The best part is Notion can even allow easier collaboration for group projects since the free plan allows sharing with up to 10 guests.

Notion Note Taking Screen

What makes Notion stand out from other platforms?

Notion stands out in two major ways; it’s very customizable to support any workflow, and it brings all work together in one shared location.

Unlike many productivity tools, Notion doesn’t just focus on solving one problem, such as organization. The way Notion is designed gives users the freedom to mold their workspace in a way that works best for them. On one hand, individuals can use it to keep their notes, to-do lists, calendars, and journals in one accessible platform. Additionally, professional teams can use it to build collaborative docs, product roadmaps, and wikis for their company.

Notion Pricing

Notion has four pricing plans: Free, Plus, Business, and Enterprise.

  • Personal (Free): The forever-free plan allows users to create unlimited pages and blocks with an allowance of 5MB file uploads. You can also share or collaborate on projects with a maximum of 10 guests, and receive basic page analytics, 7-day page history, and integration with other tools such as Slack or GitHub.
  • Plus ($8/month per user): The Plus plan is geared towards small professional groups. On this plan, you can invite up to 100 guests for collaboration. You’ll also get unlimited file uploads and 30-day page history.
  • Business ($15/month per user): This plan is for companies that use Notion to connect many teams and tools and you can invite up to 250 guests. You also get authentication features (SAML + Single Sign On), private team spaces, bulk PDF export, advanced page analytics, and 90-day page history.
  • Enterprise: This subscription is targeted toward medium to large businesses and offers more advanced capabilities. You will need to contact the Notion sales team to discuss the pricing plan that fits your business’s complex needs. You can request a trial of this specific plan if you’d rather try it before making any significant investment.
Notion Pricing Page

Unfortunately, none of the plans come with Notion AI because it’s an optional add-on. It costs $8/month per member and is billed annually at $96. If you’d rather pay monthly, it’ll set you back $10/per month per member.

Notion AI Page

Notion’s Pros and Cons

Pros

  • The customization features are better than most.
  • A great solution for note-taking and creating to-do lists.
  • You can use Notion to create wiki pages or simple websites with useful information about your business or products.
  • Pricing is affordable for solopreneurs and small teams.
  • The forever-free plan has sufficient features for solopreneurs.
  • The structure of folders allows for shortcuts so you can reach your content from multiple places.
  • Notion’s tutorials are comprehensive for everyone to understand and the support team is responsive and helpful.

Cons

  • Although Notion’s UI is very usable, it can sometimes get cluttered once you start adding multiple projects, which can be overwhelming for newbies.
  • Advanced project management features, such as reporting, time tracking, and Gantt charts are lacking.
  • Managing multiple projects on Notion can become tedious.
  • Security features are lacking, as basic features like two-factor authentication are not available, even for paid plans.
  • Notion AI is billed separately as an add-on.
  • May not be the best option for those looking for project management software for software development.

Is Notion Right For Your Organizational Needs?

Notion should be commended for its simplicity, familiarity, and affordability. If you need a straightforward entry-level solution for creating content and planning and managing projects then Notion is a great choice.

With that being said, large businesses that have complex needs may not see the platform as comprehensive enough to streamline their project management. However, Notion is a tool that keeps evolving and works hard to improve its capabilities to fit businesses of all sizes.

If you want to keep checking other project management software that may suit you better, Findstack has more helpful reviews and insights that you can take a look at. Our goal is to help you find the right tool for your needs.

"Incredibly adaptable to any business or team"
What do you like best about Notion?

The possibility of building your own tools as your team and needs evolve. It is great for all needs, from simple note taking to complex project management and KPI monitoring. All our teams use Notion on a daily basis; it has become our own little ERP !

What do you dislike about Notion?

Table are sometimes slighlty frustrating to calculate totals, percentages, ratios, etc. and require some workarounds using relations and rollups. Yet, we've found that the integrations (like Grid) can do the job great !

What problems is Notion solving and how is that benefiting you?

We used to use Google docs + a project management tool (Clickup) and have moved everything to Notion. It replaces both marvellously and enables all teams to centralize info at all times.

What do you dislike about Notion?

"I was looking for a tool that allowed me to organize myself for my 1. state exam in law"
What do you like best about Notion?

the toogle function. it allows me to structure my exam schemes. Also th data base makes it easy to organize all the relevant law cases and the keywork function makes it easy to repeat specific topics.

What do you dislike about Notion?

there is only one typeface. it would be nice to have a comment function that doesnt show the comment on the side but shows a small window once you move the cursor on a speccific word.

What problems is Notion solving and how is that benefiting you?

In order to repeat the exam schemes for my german law degree i neede a tool that allows me to fold and unfold the conditions of a §§. The german law study isnt digitalzied yet and the books are really heavy. after i uploaded all my personal notes, the cases and the desicions, i only need my ipad to study. what a relief!

"Amazing multi-use app"
What do you like best about Notion?

Notion is an unbelievably useful application. Want to manage your calendar, its got it. Want to build a CRM database, done. No code simplicity at its finest, the best application out there

What do you dislike about Notion?

The only downside of Notion is that it is so powerful you almost get overwhelmed with what it can do. The only improvement I would make is integration with grammarly.

What problems is Notion solving and how is that benefiting you?

Notion allows me to keep EVERYTHING that is relevant to my life, both business and personal, in one place. The ease with which you can organize, re-organize and search through your notes is both intuitive and efficient. The different formats you can use to manage projects, from boards to table views accommodates anyone and everyones preferences.

"I love Notion. I recommend it to everyone!"
What do you like best about Notion?

I love the way you can connect you pages with each other. Love the tables and how you can put content into something like excel but with content in it. I use it to my personal life and to all my studies - I'm a doctor so I use it to put everythin I learn and use it as consulting platform. The best thing is I can use it anywhere! I love the Notion team, I´ve contacted them sometimes now and the service is excellent. I think I couldn't imagine my life without it now.

What do you dislike about Notion?

The only thing they could do better for now is to adapt the new tables feature and allow to join cells (like one can do with tables on Microsoft tools). The function "search" could also work for the documents that you put upload. That would make it perfect.

What problems is Notion solving and how is that benefiting you?

I have all the medical knowledge in one place. And I don't have to search for the ppt in an external drive or anything. I have all about one disease in one single page and if I need to correlate it, I can put a direct link for the other stuff I want to know about.

"The Second Brain you didn't know you needed"
What do you like best about Notion?

Notion is a user friendly software/website that makes it so easy to organize my tasks, life, and work. I highly recommend to everyone who is done using alternatives with ugly UI and are cumbersome.

What do you dislike about Notion?

The only thing I dislike about Notion is that it operates on a freemium model like lots of software. BUT they must do that to make money, and who wouldn't support a great product?

What problems is Notion solving and how is that benefiting you?

Notion is helping me with preproduction for all my filmmaking needs: storyboarding, scripting, general note taking, etc. It is also helping me track engagement with my audience!

there still seem to be few features missing here and there, but overall it is already good enough. typing on mobile is some times lagging though, which hopefuly gets improved soon.

What problems is Notion solving and how is that benefiting you?

"The Best Productivity/Life App Out There, Hands Down"
What do you like best about Notion?

The best thing about Notion is it's versatility. Whether you're looking to build a website, a calendar, a book review database, and more, Notion can do it. You can build anything with your own style.

What do you dislike about Notion?

Pretty much nothing at all. Over the years of using Notion, I've never had any major issue, only small technicalities which were quickly solved when I contacted their very helpful user support team.

What problems is Notion solving and how is that benefiting you?

Notion is my second brain. With every scrap of paper and deadline in my personal, educational, and professional life, it's hard to keep track. Notion lets me keep a detailed history of all my knowledge in one place, and I can organize it exactly as is best for my brain. I can share presentations and information-bases. I have everything I could ever need in one reliable place and access it from any of my devices.

"Perfect for everything"
What do you like best about Notion?

Notion has become such an integral part of my daily routine. I am using Notion for almost everything throughout my day, starting with project and task management, gathering Wikis, managing an editorial calendar, and more. Notion Databases has changed the game for me making all my ideas, content, and itineraries organized just the way i want and viewd just the way it makes sense along with the powerful filtering capabilities; it just works...!!! The recent introduction of Notion AI has made me so productive, helping me write content much faster, helping me find relevant information on the fly, improving my writing and change the tone of content as needed. i would say it's a perfect co-pilot for content creators.

What do you dislike about Notion?

I find a few minor problems with accessibility. I am visually impaired, rely on Zoom, and require a darker or high-contrast background to comprehend text on the screen. The lack of Theming or the ability to choose Color preference, like what obsidian offers, is a problem. I also find a few problems with the desktop app not working correctly with the Read aloud feature built in into windows Magnifier.

What problems is Notion solving and how is that benefiting you?

Notion fits my needs perfectly. I could have everything all in one place like having a project manager, managing tasks while documenting them, which could become a knowledge base. That's perfect everything I need in one place

"I'd Be Lost Without Notion"
What do you like best about Notion?

I love the flexibility of Notion. You start with a blank canvas and can create almost anything to your specifications. It allows me to create customized solutions for myself and others that you can't get anywhere else. It has also allowed me to make my 2nd brain - which helps to free up my brain from all the thoughts and ideas I have going on at any given time. Total LifeSaver!!!

What do you dislike about Notion?

I don't think that there is much that I dislike about Notion. It's honestly the most advanced project management tool that is available. If I had to pick something, I'd say that there's a limit to the number of Guests you can invite to pages in Notion on the free level, but they give so much I can't complain about that.

What problems is Notion solving and how is that benefiting you?

Notion is helping to solve my brain fog. It allows me to get ideas out of my head and write them down so that I can move them around and manipulate them. It is helping me track everything in my personal life as well as work life. It has helped me to create customized dashboard solutions that help to visualize data and information better. It allowed me to develop tailored project management tools when there weren't others on the market that fit my needs.

Notion made it seamless for my organization to organize its creative ideas when we had no viable system. Working in social and video production can get really crazy so having an intuitive way to organize made our workflows so much smoother.

What do you dislike about Notion?

"A customizable workspace you can build to suit your specific needs"
What do you like best about Notion?

Powerful databases and the ability to customize pages allow me to create dashboards to suit my needs and organize information in a variety of ways. And if something doesn't work? I change it. My Notion workspace grows with me.

What do you dislike about Notion?

The biggest drawback is the lack of an offline mode. I have to keep up-to-date with my backups because if there is a problem with my connection, I don't have access to any of my databases or organization systems.

What problems is Notion solving and how is that benefiting you?

What doesn't it solve? I can make databases for anything and everything. Organizing new projects, planning and creating content for social media, connected databases for tracking income and expenses, just to name a few.

"Transformed the way I think about note taking"
What do you like best about Notion?

I love the way Notion helps me build connections between my notes and organise within my notes. It has the tools for both ad-hoc notetaking and building a flexible project management system. Two features in particular have changed how I take notes and organise my work - linked tables and a few special blocks. Firstly, the linked tables -- which can instantly transform into kanban boards, tables, calendars, list or timelines -- are powerful and intuitive. Essentially, you can make table entries, but you can expand each of them into full notes. The table just allows you to powerfully group and filter those notes, and that is exactly what I needed. I love being able to categorise my notes with tags and add deadlines or statistics to them, as well as add status tags such as todo, in progress, etc to stay organised. One thing that really helps me is setting deadlines on the entries and getting Notion to send me an email reminder. It especially helps when I need to check up on something in a month or few months time. Notion uses this 'block' system for each type of text or work. For example, a paragraph is a block, and an embed or an image or a bullet point is a block. Blocks can be nested under or within each other, or placed side by side. I love using > as a shortcut to hide parts of my notes which aren't as relevant to the main idea but that I still don't want to use. Even better, now they have also implemented collapsible heders, and it is my new favourite feature. I find myself missing these collapsible blocks when I'm taking notes in other software. I use template blocks to simplify more repetitive work, as it auto-populates the document with a format that I can specify. I also like callout blocks to highlight particular parts of my work.

What do you dislike about Notion?

Mostly I love Notion, but there are a few faults. The export feature is really troublesome -- and it only exports to HTML, markdown, and PDF. You can't customise anything about the way it exports, and the default margins, colours and sizing is just not to my liking. You lose a lot of your formatting as well if you move your Notion work to other software, which is tricky when I work with others using Notion. It is difficult to bulk download files. On the personal plan, cooperation is possible, but a little clunky. Enterprise collaboration is significantly better, but issues persist like two people not being able to edit the same block at once and sometimes some lag and delay in who is typing. Notion integrations vary in quality and usefulness. JIRA and Github for example seem very limited in the additional information supplied - but if I remember correctly, whimsical was enough to be useful. Embedding webpages has worked great for me in some instances, but most webpages are not designed to be embedded, so it is slightly less effective than I thought it would be.

What problems is Notion solving and how is that benefiting you?

- Organisation of my work - not forgetting relevant information or deadlines - Connecting related notes and concepts together, this is a first class feature in Notion - Project Timelines

"Most Efficient Note Tool. You can do many things with Notion."
What do you like best about Notion?

I can use it for many purposes. My company decided to use Noiton as a company portal site. Also, I use Notion for research results, meeting minutes, and log histories.

What do you dislike about Notion?

Since there are many functions, sometimes I find it hard to find a certain feature. Also, I heard about a new feature launch that you can use tabs that enable you to switch pages easily but I still cannot find the feature.

What problems is Notion solving and how is that benefiting you?

Great Knowledge Base: I use Notion for leaving information we agreed with the team as history, onboarding pages for new employees, and the information that we might look back on in the future.

"An overall well-rounded product that, however, sometimes lacks over traditional and simple products."
What do you like best about Notion?

The ability to organise notes in a structured and complex way. Notion also provides quite a big chunk of customazibility, with embedding HTML, etc. It also allows for an ideal collaboration space when one needs to do a project and as it is run in JavaScript, it can be simply used in the browser.

What do you dislike about Notion?

The mobile app is a bit slow and inconvenient to use. As Notion is built in JavaScript, it feels like it's a bit unresponsive often times and requires unreasonably high loading times for pages, etc. Moreover, as it a fairly complex tool, it's a question whether it might not be better to just use something else for specific tasks. For instance, keeping track of habits, or budgeting myself might be done in Notion; but it will probably be much easier and convenient in Excel.

What problems is Notion solving and how is that benefiting you?

Keeping track of scientific literature and scientific experiments. Also, keeping track of different lectures and blogs I find online and want to use later on. Notion thus acts as a second brain for me.

"Notion helped me to organize and priorities my agendas"
What do you like best about Notion?

Notion is my second brain. It helped me to organize a lot of essential agendas coming up, as well as a lot of space for me to jot down everything that I am thinking of.

What do you dislike about Notion?

The downside is that notion is a bit complicated to set up; I have to watch many tutorials to understand each feature's functionality. Some of the features require some coding. If block coding could be implemented, that would be great.

What problems is Notion solving and how is that benefiting you?

I have problems organizing my items; I usually store notes and folders in different places. Notion allows me to keep my things on one page, and I could create a sub-page for further notes. Also, it will enable me to prioritize and set reminders about what I have to do in a day so I won't forget them. The main point that attracted me was the price. The notion is free for personal use; even if you did not pay for the premium tiers, the free plan's features are sufficient.

What do you like best about Notion?

Notion is an amazing productivity tool that has proven to be a game-changer for my team. One of the most useful features of this application is its ability to link databases, making it incredibly easy for us to access and update information across multiple channels. Additionally, we've found it incredibly easy to customize our workspace to fit the needs of our team, which has led to improved collaboration and overall efficiency. In fact, we've already seen a 2x increase in productivity, and we're confident that with more practice, we'll be able to scale this even further to achieve up to 5x or more in efficiency gains. If you're looking for a powerful, flexible tool to streamline your team's workflow, Notion is definitely worth checking out!
